Shop & Seek is operated by Collector's Haven LLC. This Privacy Policy explains how we collect, use, and protect your information when you use our website, register for events, apply as a vendor, or subscribe to our communications.

Information We Collect

We may collect the following information when you interact with our website:

  • Registration Information: Name, email address, and party size when you RSVP for an event.
  • Vendor Information: Business name, contact information, social media links, descriptions, and related application details.
  • Contact Information: Information you provide when submitting a contact form or requesting assistance.
  • SMS Information: U.S. mobile phone number and consent records if you explicitly opt in to receive text messages.
  • Vendor Email Alert Information: First name, email address, signup source, consent wording and version, request date, confirmation date, and subscription status when you ask to receive vendor opportunity and application announcements.
  • Community Ofrenda Availability Alerts: Email address, event identifier, signup source, consent version, request date, and active status when you ask to be notified that online photo submissions have opened.
  • Community Altar Submissions: Your name, email address, loved one's name, optional remembrance, printing preference, consent records, and the photograph you choose to submit.
  • Vendor Flyer Studio: Your Google account identifier, uploaded logos and product photos, generated flyers, and necessary access, terms acceptance, generation, and download records.
  • Security and Consent Evidence: Short-lived abuse-prevention records and, when you opt in to SMS, a hashed network identifier and basic browser information used to document and protect the consent record.
  • Website Performance and Interaction Data: A sampled set of Core Web Vitals, route, device class, release revision, and aggregate form or CTA outcomes. We do not include the names, email addresses, phone numbers, or message text you enter in telemetry, and this monitoring does not use a persistent device identifier or analytics cookie.

How We Use Information

We use the collected information to:

  • Operate, manage, and promote our events and website.
  • Send email confirmations, event updates, newsletters, or vendor opportunity and application announcements only for the email communications you selected.
  • Send SMS updates and reminders if you have explicitly opted in.
  • Process and review vendor applications.
  • Review, print, and place approved memorial photographs in the one-day community altar according to your selected placement option.
  • Send the one-time Community Ofrenda submission-opening alert you requested, without adding your address to unrelated marketing lists.
  • Respond to your inquiries and support requests.

Mobile Information & SMS Privacy

We do not sell or share mobile phone numbers, SMS consent records, or text-message opt-in data with third parties or affiliates for their marketing or promotional purposes.

We collect SMS consent in two distinct categories to give you control over the messages you receive: Informational updates (such as RSVP confirmations, event reminders, and logistical updates for events you select) and Promotional updates (such as upcoming market announcements and offers). You may opt into either, both, or neither.

Limited information may be processed by service providers acting only on Shop & Seek’s behalf to operate the website and messaging program. Those providers are contractually obligated to protect this information and may not use it for their own marketing.

If you have opted in to receive text messages, message frequency varies. Message and data rates may apply. You can reply STOP at any time to opt out of all Shop & Seek SMS messages, or reply HELP for assistance.

Vendor Email Alerts

Vendor Application Alerts require a separate email opt-in and email-address confirmation. We record the exact consent wording or its version, signup source, request date, and confirmation date. Resend processes confirmation-email delivery, contact preferences, vendor-alert Broadcasts, and unsubscribe requests on Shop & Seek's behalf. You can unsubscribe from the Vendor Application Alerts topic or all Shop & Seek email Broadcasts using the link in any announcement.

Email consent and SMS consent are separate. Subscribing to texts does not subscribe you to email, and subscribing to Vendor Application Alerts does not subscribe you to texts or unrelated email topics.

Community Ofrenda availability alerts are also separate. Requesting that alert permits us only to notify you when online photo submissions open for the related event; it does not subscribe you to Vendor Application Alerts, newsletters, or other marketing.

Vendor Flyer Studio

We retain uploaded logos and product photos and the flyers created from them for safety, troubleshooting, recovery, and operation of the tool. Authorized Shop & Seek administrators can access these files. Other vendors cannot access them through the tool. Images are sent to OpenAI for composition assistance under its applicable data policies.

The event studio’s Tool Terms & Upload Privacy states the actual original-upload and generated-file retention periods before you agree and upload. We record that policy with your uploads; later settings changes do not extend their disclosed expiry dates. Use our Contact Form to request deletion or account help.

Each generated flyer has one original-file delivery allowance. Received files can still be copied, and watermarked previews can be screenshotted. An administrator can reset an allowance after an interrupted transfer.

Data Retention & Security

We implement reasonable security practices to protect your information. Memorial photographs are stored in private, access-controlled storage, are not published in an online gallery, and are scheduled for deletion 90 days after the related event. Printed photographs are displayed publicly on the one-day community altar and may be visible in photographs taken by festival guests. Event RSVP records are scheduled for deletion 18 months after the event. Contact messages are scheduled for deletion after 24 months unless an ongoing relationship requires them. Pending vendor-alert confirmation links expire after 24 hours. Active vendor-email and SMS subscriber records are kept until you opt out or ask us to delete them, while consent and opt-out history may be retained for up to five years to document your choices and meet legal obligations. Community Ofrenda alert records are kept through the requested notification and related event operations, unless you ask us to delete them sooner. Short-lived rate-limit and duplicate-submission records expire automatically. Performance and aggregate interaction logs are scheduled for deletion within 90 days.

Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us using the method below. You may also unsubscribe from our email communications at any time by clicking the "unsubscribe" link in any email, or reply STOP to any text message to withdraw your SMS consent.
